Vendors

To be set up as an approved vendor, please submit the following to purchasing@hsd2.org:

• W-9 Form (Taxpayer Identification Number verification)
• Vendor Information Form (District-required form for system setup - located above in Forms box)
• Certificate of Insurance (COI) (required if performing work on District property) 
  • Must name Harrison School District 2 as Additional Insured
• Conflict of Interest Disclosure (located above in Forms box)
• Proof of Good Standing 
  • Issued by the Colorado Secretary of State
• SAM.gov Registration (required for federally funded purchases)

Vendors receiving payment from federally funded programs must be registered in the System for Award Management (SAM.gov).

Why is SAM.gov registration required?

• Eligibility for Federal Contracts & Grants
  Required to participate in federally funded purchases
• Payment Processing
  Federal funds may not be released to unregistered vendors
• Compliance & Transparency
  Ensures vendors meet federal eligibility and reporting standards
• Access to Opportunities
  Registered vendors can pursue additional federal and cooperative opportunities
• Subcontracting Eligibility
  Required for participation with prime federal contractors
• State & Local Alignment
  Many agencies, including school districts, follow federal compliance standards

👉 Vendors can register at sam.gov

• A Purchase Order (PO) must be issued prior to any goods or services being provided
• The District does not accept unauthorized purchases
• All vendors must comply with District policies, state procurement laws, and federal regulations (if applicable)

Please Note

• Submission of documentation does not guarantee approval as a vendor
• Incomplete submissions will delay processing
• Additional documentation may be required depending on the type of service provided
• The District reserves the right to deny access to any individual who has not met the required background check or fingerprinting standards
