After Hours Staff Activity Guidelines

  • If utilizing an outside instructor(s)/entity for activities such as yoga, Zumba, cooking classes, etc. the following criteria must be followed:

    • The Superintendent and Principal for that location must approve the activity in writing and send an e-mail to the Risk Management Office at risk@hsd2.org.
    • The activity must be conducted outside normal school hours.
    • Participation must be voluntary.
    • The instructor / entity must submit a Facility Usage Request online prior to any sessions being held.
    • The instructor / entity must provide the District with a Certificate of Insurance for General Liability Coverage showing at least $1M per occurrence/ $2M annual aggregate and the District as an Additional Insured. The Certificate needs to include a hold harmless clause showing that the instructor agrees to indemnify, hold harmless, and defend the District from and against any and all claims, demands, actions, debts, liabilities, and attorney’s fees arising out of, claimed on account of, or in any manner caused or contributed to by the instructor, his/her agents or employees. Prior to any session being held, the Certificate of Insurance needs to be provided to the Risk Management Office (by mail or hand delivery to Harrison School District Two, Risk Management Office, 1060 Harrison Rd., Colorado Springs, CO 80905 or by fax to 719-579-2138 or scan and email to risk@hsd2.org).
    • Each participant must sign the Harrison School District Two Waiver and Release of Liability form prior to participating in the activity. These forms are to be maintained by the building for no less than 6 years + the current year for adult participants.
    • A waiver and release of liability form must be completed by the parent / legal guardian for any minor child(ren) participating in the activity. These forms are to be maintained by the building until the minor child reaches age 18.
    • If the instructor / entity requires an additional waiver / release, it will be their sole responsibility to collect forms from participants.
    • If non-participating district students are still present in the building when the activity is being conducted, the instructor and any non-employee participants must be fingerprinted and have a background check completed by Human Resources prior to any sessions being held.

    If the activity is an internal competition for employees with no outside instructor(s) / individual(s) / entity being utilized, the following criteria must be followed:

    • The Superintendent and Principal for that location must approve the activity in writing and send an e-mail to the Risk Management Office at risk@hsd2.org.
    • The activity must be conducted outside normal school hours unless it does not interrupt the normal work schedule (i.e. wearing a pedometer to see who logs the most steps during the day, “Biggest Loser” type competition, etc.)
    • Participation must be voluntary and limited to employees ONLY.
    • Employee information/data must be kept completely confidential.
    • Each employee must sign the Harrison School District Two Waiver and Release of Liability form prior to participating in the activity. These forms are to be maintained by the building for no less than 6 years + the current year.
